Minute of Finalization
This will be the main document that will consolidate the main points and the agreements reached among all the participants. It will be legitimate with the signature of the moderators, the members of the assembly and the administrators of the event. These minutes will contain the following information:
- The general data of the event
- The resolutions
- The proposals
- The files
- The annotations
Assertive communication
For us, assertive communication consists of carrying out a clear, respectful and effective communicative process. In this sense, Ecclesia offers the possibility of conducting online events focused on deliberation and decision making based on unique features such as the Speaker Queue, the proposal system and the different reports that can be generated in our application. Finally, to ensure that this communication is assertive, we base interactions within the application on respect and a culture of argumentation.
Democracy
What is democracy? There are many types, from Greek democracy, in which we are strongly inspired, through representative democracy, participatory democracy, direct democracy, liquid democracy… But, what do democracies have in common? How can we understand this concept?
For Ecclesia, democracy is only feasible if the following points are respected:
- Everyone is represented in the decisions that are made.
- Everyone participates in the decisions that are made.
- All participate in the decisions that are made
- Everyone acts according to the decisions that are made
In this order of ideas, for Ecclesia, democracy implies deliberation: decisions have to be discussed among all those involved on the basis of an assertive communication.
Finally, what is democracy? For us: it is the way Ecclesia works.
Amendments
They are the modifications to a Proposal formulated by any member of an assembly, which, if approved, will modify the Proposal so that its content is more complete and represents better the ideas of the assembly.
Stages
All events taking place in Ecclesia have the following stages:
First stage (Agenda): Event creation, general settings, guests, attachments, general chat, guest introduction, among other light interactions before starting.
Second stage (Propose): Contextualization of the discussion by the Moderator (topic, objectives, evidence, expected results, program and context), request to speak, formulation of Proposals and Priority Voting.
Third stage (Discussion): Allocation of speech according to the Queue of Requested Speech, discussion of Amendments according to Priority Voting,
Fourth stage (Decide): Voting of Resolutions, signing of the
Fifth stage (Applies): The events, after they are finished, will allow the interaction of the users with the contents and the possibility of resolution of later doubts.

Reports
For Ecclesia it is important that its users feel at ease in the debates to encourage the discussion of ideas; moreover, we are aware that the performance of the participants is an important indicator for organizations of various kinds that use our services. For these reasons, Reputation, both of users and moderators, will be one of the key metadata that our clients will be able to access. Reputation will be an indicator calculated on the basis of six criteria that we believe to be fundamental in a scenario of discussion of ideas:
- Punctuality
- Respect
- Creativity
- Effectiveness
- Participation
- Assertiveness
The resulting Reports will be an added value that will be distinctive of the product we offer to our customers.
Interventions
It is the time allotted to a member of the assembly when he/she becomes a speaker from his/her turn in the Requested Speech Queue to expose his/her proposals or defend his/her ideas. This time is defined by the creator in the Event Creation Form. While an intervention is taking place, any member of the assembly may Reply, take the floor, amend or vote.
Moderator
In addition to exercising the powers conferred upon him/her by other provisions of these rules, the Moderator shall open and direct the debate, shall be attentive to its progress and to the transit between the different Stages of the events, shall ensure the application of Ecclesia’s Behavior Policies, shall control the Queue of Requested Speech, shall vote on the Proposals and proclaim the Resolutions. He shall rule on points of order and, subject to these rules, shall have complete control of the proceedings at each meeting and over the maintenance of order thereat. He may also move the suspension or adjournment of the meeting, or the adjournment of the debate on the question under discussion.
The Moderator shall not vote.
On his competence, his authority, his tact, his impartiality, his respect for the rights of both minorities and majorities, and on his knowledge of the rules of procedure depends essentially the smooth running of events in Ecclesia.
The Moderator shall make every effort to ensure that the general debate proceeds in a methodical and regular manner and, with the assent of the Assembly, may close the Queue for Requested Speech as soon as he/she deems possible.
The Moderator may ask members of the Assembly to explain their vote, provided it is not of a confidential nature.
Prioritization
In the second stage: Propose will be constantly carried out the Prioritization Vote of the proposals that are being formulated during the course of the event so that during the third stage: Debate the most relevant Proposals can be discussed.
This information will also support the consolidation of the Participation metadata for the assembly members.
Proposals
From the start of the Introduction, any Assembly member will be able to create a Proposal by filling out the corresponding Proposal Creation Form.
From this information the Creativity metadata for Assembly members will be obtained.
Replies
Ecclesia also encourages the discussion of ideas in an orderly manner, for which it also allows members of an assembly to elaborate a reply to the Interventions of a speaker. To do so, they will click on the “Reply” option in the Speaker’s box and enter the Reply Queue.
From this information will also be consolidated the Report of Participation.
Resolutions
The Resolutions are the Proposals once they have been approved in the final votes. A summary of the Resolutions and their votes will be had in the Minute of Finalization of the Event.
Voting
Each member may vote only once for each Proposal or Ammendment.
Decisions of the Assembly on important matters, such as the approval of Proposals or Amendments shall be made by a two-thirds majority vote of the members present and voting in the case of Public Events; in the case of Private Events the creator may autonomously determine this threshold.
After the Moderator has announced that voting has begun, no representative may interrupt the voting. The Moderator may permit members to explain their votes, either before or after the vote, except when the vote is by secret ballot. The Moderator may limit the length of such explanations.
The votes taken in Ecclesia are as follows:
- Priority Voting
- Proposal Voting
- Voting on Amendments
- Voting of Interventions
